Making Changes to your Constitution

As RSO Re-Registration Season ends, many organizations are planning to make changes to their Constitutions.
When registered student organizations make changes not mandated by the Office of Student Life, those organizations will be required to submit a voting record alongside the new constitutions. 

When making Changes to a Constitution, it’s best to communicate them to all your group members, not just your fellow officers.  When you make constitution changes, you are not just making changes to a mandatory document with the office of student life.  You are also changing the direction your club is going in. 

What’s the difference between Mandated and Non-Mandated Changes? 

Mandated Changes are changes to your constitution that the Office of Student Life will require organizations to make to be in compliance with the Sample Constitution and RSO Handbook.  Those Documents can be viewed below:

Non-Mandated Changes are changes to your constitution that the Registered Student Organization wants to make to better suit the goals they want to achieve. 

Examples to Non-mandated Changes are (This list is not exhaustive):

• Changing the name of your club
• Changing the responsibilities of your RSO Officers
• Adding new RSO Officer roles to your Club that are not listed in your constitution
• Changing how elections are run in your organization
• Adding Bylaws not mandated by the office of student life

Bringing Constitution Changes to a Vote

Follow these steps when voting on constitution changes

• Make sure to set a meeting where all club members and your advisor are invited. 
• Take attendance at the meeting so quorum can be calculated and noted.
• Make sure each member has an accurate copy of the constitution changes being made
• Take a vote according to your current voting rules in your constitution
  • To be inclusive and flexible, you can also use MyPNWLife Surveys and Forms to vote online
• If the vote is not successful, alter your constitution again and follow the steps above
• If the vote is successful, submit your updated constitution with a voting record to the office of student life
  • If you voted online, submit the results of the online form
  • If you voted in person, submit the Meeting minutes that contain
    • Quorum % met, attendance
    • Voting results

Guest Speakers and Contracts

When planning your next guest speaker event, it is mandatory that your guest speaker has a fully signed contract with Purdue University Northwest. 

Please be mindful that contracts take up to 4 Weeks for student organizations and the Office of student life to process with our Contracts Office.
